Cancelling certs in TAM

What is the best way to cancel certs in TAM (10.3)?   I used to do this manually (print out all certs, raw a red line through and state canceled <date> and then mail them all out.    Then I tried renewing the cert in TAM, change the expiration date and add a common description showing the cancellation infomration, then print and mail.   However, the common description overwrites the original description so you lose the job info, etc.   This could be bad if the policy is reinstated and then you are stuck reinven ting the wheel to reissue the certs as the descriptions ahve been lost.   Anybody got a brilliant idea here??  Thanks!!

IF (and that's a big if) we were stuck with notifications that a certificate was cancelled, we did the rescission with a letter, notifying them the coverage had been cancelled.  With the new form, not done, as there is no statement for notification.  Many carriers would not allow agency to do notice.

We titled those few requiring with "NTC REQ-" as the first part of the certificate title.  That helped identify those we had gotten stuck doing it.  If that wasn't in the title, we made no notice.

Move to 10.4 and eliminate the question completely (once all issued certs expire). It's a non-issue with the new COI.

And then when you move to 10.5 you get the option of using the old cert forms again.

Maybe not. Acord is not happy with that idea and may not allow it. Additionally, from what I understand, Applied may only be seeking to have it available to display previously issued certificates that would have been sent out on the old form. Even if included, it may not be a "usable" form. That is fine with me. I've no intentions of going back to it.

I got to say, I am so sick of this COI issue.  Applied never should have changed the format of the old ones that were issued.  Only use the new format going forward.  I can see Acord being annoyed.  Although as I understand, not all state insurance depts have accepted the new standard so it puts Applied in a difficult position. 

Not that this helps with the original question :-).

I hadn't noticed, but Applied never has displayed the old version for previously issued certs when they update. It's simply never really mattered much until this big change in the form. It's actually Acord who's tossing up the issue saying that Applied may not be allowed to include it even as a display. It certainly brought forward the thought of saving an image of an issued cert as a PDF. I don't want to archive them for forever attached to the client either, but that's a whole different discussion.

At this point, for us the new cert has been rather a 'non-issue'. No problems at all so far and I really don't anticipate having a problem with any that have been issued on the older form, but we aren't a heavy contractor agency.

We have had some issues - we do have a lot of contractors.  Some vendors were threatening not to pay or accept the client if they couldn't get the language they wanted on the cert.

Generals and government agencies alway want what they want until they find out it can't be had.  It takes a while so in the meantime we get to fight with them on a daily basis! 

I used to handle a 2m book of contractors and loved dealing with them, but hated dealing with their certholders.  It's always a battle.
