Universal Holders Question

Is there a report that I can run that tells me which universal holders are actually in use?  Is it possible to search certificates?

Have never figured that out - usually ended up running a list, passing to department managers to review and mark those they know are needed.  Then review for dups.  End up trying to clean up, delete those no one wants.

Long process, not clean.  Ended up taking away rights to add them, staff had to ask for new one to be added or address on one to be changed.

In Tam, I ran a SEARCH - Forms - Cert (Simp) and limited my Issue Date to the last couple of years span.  Then on fields for the report, I chose Account #, Certholder Code, name and address and the issue date.

You could compare it to those in the system (and all of the duplicates!) to delete the one not used recently.

Just to clarify, since I'm a bit thick headed, you run a search of the certs (SIMP) with an issue date of around 2 yrs, then you run a report of the entire Universal Cert list and delete the ones from the Universal list that are not present on the search? Do you do the deleting from the Universal Cert Holder list in TAM or from the Universal Holder Delete Utility in the utility manger?

I just did the compare and came up with 8643 that did not show up on search going back to 1-1-2009 to present YIKES! That's a big list.

I'd do the delete from the list, not via the utility.  They may have been used outside of your report dates, but within your retention parameters (such as 7 years).

Yup, huge list - that's why I limited almost everyone from adding to the list after it was cleaned up, they had to request it.

Thanks, Sherry!  I have a 214 page list of holders and I'd guess 200 pages of coding changes.  This report will enable me to delete the old ones no longer in use and simplify cleanup.

Yes, but they didn't want to go in that direction.
