Title: Best Practices for Former Employees

It's usually stressful when an employee leaves or is terminated.  I'm just wondering if anyone has a checklist that they use for this.  Things like collecting keys, changing access codes, disabling TAM access, etc....  Thank you.

I don't have a list, but let's make one here.

Forward email to another account (or similar temporary action), but change password. Schedule for deletion.
Disable login to all carrier/vendor websites (or change password if shared).
Disable/forward phone extension/voicemail
Remove access for email from employee mobile device
"Deal with" business info on employee mobile device
Provide copy of filed anti-piracy agreement signed by now former employee to them.

Disable Domain account immediately
Disable TAM account immediately
If licensed, contact state dept of insurance to notify them that the person is no longer associated with your agency

With respect to the mobile device issues, whose phone number is it?  In other words, if you issued them a cell phone on your plan that you paid for, and they did not use a personal number but you assigned them a corporate/company number, you should strongly consider keeping that number - it's the one the clients will call.

If you are using TAM's front end scanning, you need to reassign items in the users image inbox before you disable their TAM account or you won't be able to access those items from the image inbox.

Things I'd add to those mentioned by others:
1. Notify (or make the changes if you have access) any carrier that had them listed for access.
2. Notify HR (if it's someone else) - they need to also make changes on health insurance, etc.
3. Any other benefits, such as parking, health club discounts, etc?
4. Any direct deposit that was done?
5. Verify mailing address for last paycheck, make sure that is cut in appropriate time-frame.
6. Get the COBRA documentation sent out within required time-frame.
7. Immediately go through desk (with them if appropriate) to sort out what may be present and needs to be followed up.
8. Re-assign open activities.
9. Definitely make sure they weren't saving things just to their desktop, and never got backed up.  Review and determine best approach.
