I would like to know what other agencies are using the notes section in TAM Customers for and what rules determine whether you use notes or an activity.

We tend to avoid using it because it's not linked to anything else and easily forgotten. Only thing we put in there is details of premium finance on say a large corporate client with multiple lines all being financed. On reflection this might be better done by an Activity but it's not a crucial issue for us.
I think this was a section of tam that was useful before you could write a book in activities. We don't use them.
ACTIVITIES for everything - notes just for info that is non-essential to either the account or the agency but something you might want to recall someday.....NOTHING of value (information -wise) goes in to notes! It's like a scrap piece of paper in your computer....
This all makes sense to me. I just found a claim note entered in notes (to my horror) and am wondering if there is any way to run a report on notes entered during a particular period of time or by a particular user. Any thoughts on that?
It looks like you'd have to use custom criteria to search the notes. We only use it for long-term non-essential info, like "Insured is daughter of XXXXX". Generally we just don't use them now at all.
Perhaps her note should have gone under Claim Notes, which are searchable.
Worth noting that Sticky Notes are listed in Notes, but you don't have any control over that. Just had a quick look at Reports and can't see any search that would do it normally. As Jim says it might be a custom job - dark arts....
I use Notes for things that apply to the client. Usually personal things that are relationship builders, like noting the birth of a first grandchild so I remember to ask about him/her, or son in Marines, that kind of thing.

We enter notes for all phone conversations to document what we dicuss as well as stuff like births, grandkids, etc. When we started on TAM there was no place to do this. I did learn some users would type memo's to document this later and we decided not to do this. As the activity area was developed we decided it was not where we wanted our calls. I do know many agencies document their calls there.
You can run a report of notes added. In the report menu, select Wizards, create a custom search. Give it a name, default out put Excel, Data File 1 "NOTE". Now on your User Define Searches, select the report you just named, Enter the following filter: Note.r_date="B101"
This will give you all notes entered January 2011. If you want for just one operator:
Note.r_date="B101" AND Note.op_id="xx" where xx is the operator code.

Hans can get most anything out of TAM. Not sure how he does it, torture, water boarding or what but he can get most anything out it. ;)
I know, he's amazing how he does it. He's truly a gem. Along with a few others "here". I miss the NG's.
